TL;DR — The Short Version
- What we collect: Your account details, the content you add (messages, photos, files, harvests, stands, trails), and your location when you use a location feature — the map, harvest logging, trail recording, placing a stand or marker, or sharing your location in chat.
- Why: To run the app and help your club coordinate hunts.
- Who sees it: The members of your clubs (by design) and the service providers that operate the app for us, all listed in Section 3.
- What we don't do: Sell your personal information, use it for targeted advertising, or track you across other companies' apps and websites.

This Privacy Policy explains how AJC Apps, LLC (“AJC Apps,” “we,” “us,” or “our”) collects, uses, shares, and protects information about you when you use the HuntClub mobile application for iOS and Android and the related services we provide (together, the “Service”). It forms part of, and should be read together with, our Terms of Service. By using the Service, you acknowledge the practices described in this Privacy Policy.
1. Information We Collect
A. Information You Provide
- Account data — Your email address and password. Passwords are hashed and never stored in plaintext.
- Profile data — Display name, avatar photo, and phone number. Each is optional, and each is visible to the members of your clubs (Section 3.A).
- Club membership — Which clubs you create or join and your role in each (Owner, Admin, Member, or Guest).
- Content you create — Chat messages (including @mentions), reactions, polls and poll votes, photos, documents you upload to your club (PDF and Word files), harvest logs (species, sex, measurements, weight, date and time, location, weather, and photos), stands, markers, trails, property boundaries, notes, events, event RSVPs (including guest counts) and comments, reservations, and check-ins.
- Invitations — The email address of anyone you invite to a club by email.
- Reports and blocks — Messages you report, the reason and any note you add, and the users you block.
- Support communications — What you send us when you contact us.
B. Location Information
The Service collects your device's location only for the features below, and only when you have granted location permission. Checking in to a stand or marker records which location you checked in to and when; it does not record your GPS position.
| Feature | When Collected | What Happens to It |
|---|---|---|
| Map display | While the map is open | Shows your position to you and centers the map. Not saved to our servers and not shown to other members. Processed on your device by the Mapbox map software (Section 3.B) |
| “My location” placement | When you tap My location while placing a stand, marker, or harvest | A single reading, saved as that item's location |
| Harvest logging | When you log a harvest | The location you set is saved with the harvest. If you attach a photo, the app reads the date, time, and location embedded in the photo to suggest when and where the harvest happened; it is saved only if you keep that suggestion |
| Trail recording | Only while you are recording a trail | Precise location, continuously, including while the app is in the background or the screen is locked. The “Always” / “Allow all the time” permission is requested only when you start a recording, and recording works without it. Collection stops when you save or discard the recording. A saved trail is visible to your club |
| Chat location share | When you tap “Location” in club chat | A single reading, sent to your club as a chat message |
| Point phone (stand direction) | While you use Point phone | Your device's compass heading, used to set the direction a stand faces. Only the direction you save is stored |
| Weather | When weather is shown or a harvest is logged | The approximate center of the map you are viewing, and the location of a harvest you log, are sent to Open-Meteo to retrieve weather (Section 3.B) |
Apart from a trail recording in progress, the Service does not collect your location while the app is closed or in the background.
C. Information Collected Automatically
| Data Type | When Collected | Details |
|---|---|---|
| Usage analytics | As you use the app | Screens viewed, taps, and feature events (e.g. “checked in”, “harvest logged”), tied to a pseudonymous user ID and your club ID, not your name or email. GPS coordinates are stripped before sending. Processed by PostHog (Section 3.B) |
| Crash reports | When the app crashes or errors | Stack trace, device model, operating system, app version, your user ID, and your account email. GPS coordinates are removed before sending. Processed by Sentry (Section 3.B) |
| Push notification token | When you enable notifications | Your device's push token, platform, and device model name (which may include a name you have given your device), stored so we can deliver club notifications |
| Subscription status | If you buy a subscription | Plan, status, trial and renewal dates, and a subscription-service customer ID, received from the App Store or Google Play through RevenueCat (Section 3.B). We never receive your card number, billing address, or other payment details |
| Device and log data | When the app connects to our servers | Device model, operating system, and app version, plus the IP address and request details our hosting provider records in its server logs for security and troubleshooting |
| Map telemetry | While you use the map, unless you opt out | The Mapbox map software collects usage and location data for Mapbox's own purposes. You can opt out at any time (Section 5) |
D. Device Permissions
The app asks for the device permissions below only when you use a feature that needs them. Each is optional, and you can withdraw it at any time in your device settings; the feature that depends on it will stop working.
- Location — For the features in Section 1.B.
- Camera and photo library — To take or choose photos for your profile, stands, markers, harvests, events, and chat, and to save photos to your library when you ask. Photos are resized and re-encoded before upload, which ordinarily removes the metadata embedded in them. Documents you upload are stored as you provide them, including any metadata they contain.
- Calendar — When you turn on calendar sync, the app adds your club's events to a separate “HuntClub” calendar on your device. It reads only the events it created and does not read the rest of your calendar.
- Notifications — To deliver club notifications.
E. Information From Others
We do not purchase or receive data from data brokers or advertising networks. We receive information about you from:
- Other users — For example, when a club admin invites you by email, a member @mentions you, or a member posts a photo or harvest that includes you.
- The App Store or Google Play — Your subscription status, reported through RevenueCat when you buy, renew, or cancel a subscription.
2. How We Use Your Information
- Provide the Service — Authenticate you, display club content, and operate stands, markers, reservations, check-ins, harvest logs, trails, chat, and events.
- Club coordination — Show your clubmates your check-in status, reservations, and the content you share with the club.
- Notifications and communications — Send push notifications you have enabled, and transactional emails such as email confirmation, password reset, and club invitations.
- Weather — Retrieve forecasts and harvest-time conditions from Open-Meteo.
- Improve the Service — Diagnose crashes (Sentry) and understand how features are used through pseudonymous product analytics (PostHog).
- Subscriptions — Record whether your account has an active subscription so the app can unlock paid features. Payment itself is handled by the App Store or Google Play, not by us.
- Safety, security, and enforcement — Review reported content, enforce our Terms of Service, and detect and prevent fraud, abuse, and unauthorized access.
- Support — Respond to your questions and requests.
- Legal compliance — Comply with applicable law and legal process, and keep records the law requires.
We do NOT:
- Sell your personal information
- Share your personal information for targeted (cross-context behavioral) advertising, or use it to target ads to you
- Track you across other companies' apps and websites
- Build profiles for third-party marketing
- Make decisions about you by automated means that produce legal or similarly significant effects
3. How We Share Your Information
A. With Your Club Members
Sharing with the members of your clubs is a core function of the Service. Within each club you belong to, the other members (including Guests) can see:
- Your display name, avatar, phone number (if you add one), and role in the club
- Your check-in status and check-in history — which stand or marker you are or were checked in to, and when
- Your reservations
- Your harvest logs, including their location, measurements, weather, and photos
- Your chat messages, chat photos, locations you share in chat, reactions, and poll votes, and when you are typing
- Your event RSVPs, guest counts, and comments
- The stands, markers, trails, boundaries, notes, photos, documents, events, and polls you create or upload
Club Owners and Admins can also manage the club's membership and roles, see the email addresses of people invited to the club by email, and remove content from the club. Content you share with a club becomes part of that club's records (see Section 4).
Some limited information is visible beyond your club. If your club is listed as public, its name, description, and member count appear in club search. Anyone holding a club invite link can see the club's name, photo, and member count and the display name of the member who created the link.
B. With Service Providers
We share information with the service providers below, which process it on our behalf to operate the Service, or which you interact with through the Service. They may use it only as permitted by their agreements with us and their own terms and privacy policies.
| Provider | Purpose | Data Shared |
|---|---|---|
| Supabase (US) | Database, authentication, file storage, server functions | All app data, plus server logs; encrypted in transit and at rest |
| Mapbox (US) | Maps and map telemetry | The map area you view, which is requested as map tiles. Unless you opt out, the Mapbox map software also sends Mapbox telemetry, including usage data and device location, which Mapbox uses under its own privacy policy |
| Open-Meteo | Weather forecasts and harvest-time weather | The approximate center and extent of the map you are viewing, and the location and hour of a harvest you log |
| Resend (US) | Email delivery | Account emails (email confirmation, password reset): your email address. Club invitations: the invitee's email address, the club name, and the inviter's display name (or the inviter's email address, if they have not set a display name) |
| PostHog (US) | Product analytics | Pseudonymous user ID, club ID, screen views, taps, and feature-usage events, plus device data (model, operating system, app version). GPS coordinates are stripped before sending |
| Sentry (US) | Crash and error reporting | Crash reports with stack traces, device data, app version, your user ID, and your account email. GPS coordinates are removed before sending |
| Expo (US) | Push notification delivery | Device push token and notification content, which can include the sender's display name and the text of a chat message |
| Google — Firebase Cloud Messaging (Android) | Push notification delivery on Android devices | Device push token and notification content. Expo passes every Android notification to Firebase Cloud Messaging, which is the only way a notification can reach an Android device |
| Apple — Push Notification service (iOS) | Push notification delivery on iOS devices | Device push token and notification content |
| Google — document viewer (Android) | Displaying PDF documents on Android devices | When you open a club PDF on Android, the document's link is passed to Google's document viewer, which retrieves and displays it |
| RevenueCat (US) | Subscription management | Your internal user ID, the store's purchase receipt, and the resulting subscription status, plan, and renewal date. RevenueCat does not receive your name, email, or location |
| Apple App Store / Google Play | Payment processing and subscription billing | The store you bought the app from processes the payment and holds your payment method — we never see or store it. The store reports the resulting purchase and subscription status back to us through RevenueCat |
| Slack (US) | Moderation and operational alerts | When a chat message is reported: the reported message content, the author's and reporter's display names, the club name, the report reason, and any note the reporter adds are forwarded to our private moderation channel. Limited operational events are also forwarded to a private internal channel: a new sign-up (your email address, account ID, and device platform), a new club or new member (display name and club name), and a club's first harvest (display name, club name, species, and any measurements recorded) |
C. Legal Requirements and Protection
We may disclose information when we believe in good faith that doing so is necessary to comply with applicable law, a subpoena, court order, or other legal process; to respond to a lawful request from a government authority; to enforce our Terms of Service; to detect, prevent, or address fraud, security, or technical issues; or to protect the rights, property, or safety of AJC Apps, our users, or the public, including in an emergency involving a risk of death or serious bodily injury.
D. Business Transfers
If AJC Apps is involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of all or part of its assets, your information may be transferred as part of that transaction. Any successor will remain bound by this Privacy Policy as to the information transferred unless and until it is changed as described in Section 9.
E. With Your Consent
We may share information for any other purpose with your consent or at your direction.
4. Data Retention & Account Deletion
- Account data — Retained for as long as your account exists.
- Check-ins — An open check-in closes automatically after the period set in your club's settings (24 hours unless your club changes it). Check-in history is kept as part of the club's records.
- Club invitations — Invite links and emailed invitations expire within 3 days, or sooner once they have been used or revoked.
- Drafts on your device — Unsaved drafts and trail recordings kept on your phone stay there until you save or discard them, or delete the app.
- Backups — Our hosting provider keeps routine backups. Deleted information may remain in those backups until they are overwritten in the normal course.
What happens when you delete your account (Profile → Settings → Delete Account). For step-by-step instructions and the full list of what is deleted and retained, see Delete Your Account.
- Deleted — Your avatar, phone number, preferences, notification settings and device tokens, poll votes, event RSVPs, reservations, your subscription record, and your club memberships. You are removed from every club.
- Your sign-in and email address — Your password is erased and your email address is replaced with a random value, so the account can no longer be signed in to and your email no longer identifies it. The underlying account record is retained in this anonymized form. Your email address is released, so you can sign up again later with it; that creates a completely new account and does not restore or re-link anything from the deleted one.
- Retained under “Deleted User” — Your chat messages, harvest logs, check-in history, notes, photos, uploaded files, and the events, polls, stands, markers, and trails you created remain in your clubs' records, attributed to an anonymous “Deleted User” profile, so club history and shared records stay intact. Where we had copied your display name into photo tags, that copy is replaced with “Deleted User”. Free text is not rewritten: your own messages, and other members' messages that mention you by name, are left as written. You can delete content you want removed before you delete your account.
- Club owners — If you own a club, ownership transfers automatically to its longest-standing admin, or failing that its longest-standing member, or failing that its longest-standing guest. If you are the club's only member, the club is deleted along with your account. You are never blocked from deleting.
- Subscriptions — Deleting your account does not cancel a subscription bought through the App Store or Google Play. Only the store can cancel it — do so in your Apple Account subscription settings or your Google Play subscription settings.
5. Your Choices & Rights
- Access — Request a copy of the personal information we hold about you.
- Correction — Edit your profile in the app, or ask us to correct information you cannot edit yourself.
- Deletion — Delete your account in the app (Profile → Settings → Delete Account) or email [email protected]. See Section 4 for what is deleted and what is retained in anonymized form.
- Location — Location is used only for the features in Section 1.B. You can change or withdraw location permission at any time in your device settings.
- Mapbox telemetry — Tap the ⓘ button at the bottom of the map and choose the Mapbox telemetry option to opt out.
- Notifications and calendar — Manage notifications in the app's settings or your device settings, and turn calendar sync on or off in the app.
- Content — Delete your own harvest logs, chat messages, notes, event comments, reservations, and reactions in the app.
State privacy rights. Depending on the state where you live, you may have rights under state privacy law, such as the right to know, access, correct, or delete your personal information, and to obtain a portable copy of it. We honor access, correction, and deletion requests from all users, wherever in the United States they live. To make a request, email [email protected] from the email address on your account so we can verify your identity; an authorized agent may submit a request on your behalf with your written permission. We respond within 30 days and will not discriminate against you for exercising these rights. If we decline your request, you may appeal by replying to our response with “Appeal” in the subject line. We do not sell personal information or share it for cross-context behavioral advertising, as those terms are defined under California law.
6. Data Security
- All communication uses TLS/HTTPS
- Data is encrypted at rest on our hosting provider's infrastructure
- Row-Level Security (RLS) on every database table
- Token-based sessions with automatic refresh
- Passwords hashed; never stored in plaintext
- Administrative credentials restricted to server-side processes
No method of transmission or storage is completely secure, and we cannot guarantee the absolute security of your information. You are responsible for keeping your password confidential. If we learn of a security breach affecting your personal information, we will notify you as required by applicable law.
7. Children's Privacy
The Service is not directed to children under 13, and children under 13 may not use it. We do not knowingly collect personal information from children under 13; if we learn that we have, we will delete it. Users aged 13 to 17 may use the Service only with the permission and supervision of a parent or legal guardian, as set out in our Terms of Service. If you believe a child under 13 has provided us with personal information, contact [email protected].
8. United States Only
The Service is offered only in the United States and is operated by AJC Apps, LLC from the United States. Your information is stored and processed in the United States. The Service is not directed to people outside the United States; if you access it from elsewhere, you do so on your own initiative and understand that your information will be transferred to, stored, and processed in the United States.
9. Changes to This Policy
We may update this Privacy Policy from time to time. The effective date at the top of this page shows when it was last changed. For material changes, we will provide at least 30 days notice via in-app notification or email before the change takes effect. Continuing to use the Service after a change takes effect constitutes acceptance of the updated policy. Prior versions are available on request.
